01Introduction & Scope

Kashyap Technology Services Private Limited(“Kashyap Technology Services”, “we”, “our”, or “us”) is committed to protecting the privacy of every individual and organisation that interacts with us. This Privacy Policy explains what personal information we collect, why we collect it, how we use and safeguard it, and the choices and rights available to you.

This Policy applies to our website, our contact and quote request forms, our career application portal, our inbound and outbound tele sales operations, our IT recruitment activities, and our digital marketing engagements.

Scope note: This Privacy Policy covers data protection only. The commercial and contractual rules that govern the use of our website and services — fees, deliverables, liability, and dispute resolution — are set out separately in our Terms and Conditions.

02Information We Collect

We collect only the information we need to respond to you, deliver the services you have engaged us for, and meet our legal obligations. Depending on how you interact with us, this may include:

  • Identity & contact data: Full name, business email address, telephone or mobile number, organisation name, job title, and country or city of operation.
  • Business & engagement data: Project requirements, campaign objectives, budget ranges, service preferences, and correspondence exchanged during proposals and delivery.
  • Candidate & recruitment data: Resumes and CVs, employment history, educational qualifications, technical skills, certifications, portfolio or profile links, notice period, current and expected compensation, work authorisation status, and referee details you choose to provide.
  • Communication records: Email threads, form submissions, SMS and WhatsApp message logs, call metadata, and — where lawful and only after prior notice to participants — call recordings used for quality assurance and training.
  • Technical & usage data: IP address, approximate location derived from IP, device type, browser and operating system, referring URL, pages viewed, session duration, and interaction events captured by cookies and analytics tags.
  • Billing data: Billing name and address, tax registration numbers, purchase order references, and payment confirmation records. Card and bank credentials are handled by our payment providers — we do not store full card numbers or banking passwords.
Sensitive data: We do not seek and do not require sensitive personal data such as government identity numbers, caste or religion, biometric records, health information, or financial account credentials in order to respond to an enquiry or process a job application. Please do not include such details in forms, resumes, or messages sent to us.

03How We Collect Information

We obtain personal information through three routes:

  • Directly from you: When you complete a contact, quote, or career form, email or call us, respond to an SMS, attend a discovery call, or sign a service agreement.
  • Automatically: Through cookies, pixels, and analytics tags that record how our website is used. See Section 6.
  • From third parties: Public professional networks and job boards where candidates have published their profiles, referral partners, and client-supplied prospect lists. Where a client supplies contact data to us, that client warrants to us that it was collected lawfully and with any consent required by applicable telemarketing and data protection law.

04Purpose & Lawful Basis for Processing

We process personal information only where we have a lawful basis to do so. The table below sets out what we do and why:

  • To deliver contracted services — running tele sales campaigns, sourcing and screening candidates, and executing marketing campaigns. Basis: performance of a contract.
  • To respond to enquiries and issue proposals — answering your questions, scoping work, and preparing quotations. Basis: steps taken at your request prior to entering a contract.
  • To evaluate job applications — assessing suitability and, with your agreement, presenting you to prospective employers. Basis: consent and legitimate interest.
  • To administer accounts, billing, and support — invoicing, reconciliation, reporting, and dispute handling. Basis: contract and legal obligation.
  • To send service and marketing communications — updates, offers, and relevant commercial information. Basis: consent, withdrawable at any time.
  • To secure, measure, and improve our website — diagnosing faults, preventing abuse, and refining user experience. Basis: legitimate interest.
  • To meet statutory and audit duties — tax, accounting, and regulatory record-keeping. Basis: legal obligation.

We do not use your personal information for automated decision-making that produces legal or similarly significant effects on you without human review.

05Mobile Information, SMS & Phone Consent

When you submit a telephone or mobile number through our website forms, or provide it during a call, you consent to Kashyap Technology Services Private Limited contacting you by phone call, SMS, or messaging application in connection with your enquiry, application, order, or active engagement.

We do not share mobile data with third parties for marketing.Mobile information collected for SMS or telephone consent — including your number, your opt-in record, and your consent status — is never sold, rented, or shared with any third party or affiliate for their own marketing or promotional purposes. It is disclosed only to the communication providers who deliver the messages on our behalf, strictly under contract and only for that purpose.

You may withdraw consent at any time by replying STOP to any SMS, telling our representative during a call, or emailing info@kashyaptechnologyservices.com. We will action the request promptly and retain a suppression record so that you are not contacted again. The operational programme terms — message frequency, carrier charges, and the HELP keyword — are set out in Section 7 of our Terms and Conditions.

06Cookies & Tracking Technologies

Our website uses cookies, web beacons, and similar technologies. These fall into four groups:

  • Strictly necessary: Required for the site to function, maintain session state, and protect against abusive requests. These cannot be switched off.
  • Analytics & performance: Aggregate measurement of page views, traffic sources, and navigation paths so we can improve the site.
  • Functional: Remembering preferences such as a form you have already submitted, so you are not asked twice.
  • Advertising & remarketing: Set by advertising platforms to measure campaign performance and, where applicable, show you our advertisements on other sites.

You can configure your browser to refuse some or all cookies, delete existing cookies, or alert you when one is set. Blocking strictly necessary cookies may prevent parts of the website from working correctly. Most advertising platforms also offer their own opt-out controls in your account settings.

07How We Share Information

We do not sell, rent, or trade your personal information to third parties for their own marketing purposes. We disclose information only in the circumstances below, always limited to what is necessary:

  • Prospective employers and hiring clients: Candidate profiles are shared only with your knowledge and for the specific roles you are being considered for.
  • Enterprise and telecom partners: Where fulfilling your order or service request requires provisioning, installation, or activation by a partner named to you.
  • Processors acting on our behalf: Cloud hosting, CRM, email and SMS gateways, and analytics vendors, each bound by written confidentiality and data-protection terms and permitted to use the data only to provide the service to us.
  • Professional advisers: Auditors, accountants, bankers, and lawyers, under professional duties of confidentiality.
  • Legal and regulatory authorities: Where required by law, court order, or lawful regulatory demand, or to establish, exercise, or defend legal claims.
  • Corporate transactions: If our business is merged, acquired, or reorganised, data may transfer to the successor entity, which remains bound by this Policy or a policy no less protective.

Mobile numbers and SMS consent records are excluded from all marketing-related sharing, as stated in Section 5.

08International Data Transfers

We support cross-border operations, including IT talent recruitment for United States clients and international tele-marketing programmes. Your information may therefore be processed or stored on servers located in India, the United States, or other jurisdictions where our service providers operate.

Wherever data is transferred, we apply contractual safeguards with the receiving party, assess the vendor’s security posture before onboarding, and limit the transfer to the data actually needed for the purpose. Your rights under this Policy travel with your data.

09Data Security Safeguards

We maintain organisational, technical, and physical controls proportionate to the sensitivity of the data we hold, including:

  • TLS/SSL encryption for data transmitted between your browser and our website.
  • Role-based access control, so staff can reach only the records their role requires.
  • Credential management, protected administrative accounts, and periodic access reviews.
  • Written confidentiality obligations and privacy training for employees and contractors.
  • Vendor due diligence before any processor is granted access to personal data.
  • A documented incident response process covering detection, containment, and notification.
Breach notification: No method of internet transmission or electronic storage is completely secure. In the event of a personal data breach that is likely to affect you, we will notify you and the competent supervisory authority without undue delay, describing the nature of the incident and the steps we are taking.

10Data Retention

We keep personal information only as long as it serves the purpose it was collected for, then delete or anonymise it. Our standard periods are:

  • Website enquiries and quote requests: Up to 24 months from your last interaction with us.
  • Candidate applications: Up to 24 months from application or last contact, so we can consider you for suitable future roles. You may request earlier deletion at any time.
  • Call recordings and interaction logs: Up to 12 months, unless retained longer for an active dispute or a regulatory requirement.
  • Client contracts, invoices, and financial records: For the period required by applicable tax, company, and accounting law.
  • Marketing suppression and opt-out records: Retained indefinitely, because we need them to honour your request not to be contacted.

Where a longer period is mandated by law, or where data is needed to establish or defend a legal claim, we retain it for that period and no longer.

11Your Data Protection Rights

Subject to the law applicable to you, you have the following rights over your personal information:

  • Access: Obtain confirmation of whether we hold data about you, and a copy of it.
  • Correction: Have inaccurate or incomplete information rectified.
  • Erasure: Request deletion where no overriding legal or contractual obligation requires us to keep it.
  • Restriction and objection: Ask us to pause certain processing, or object to processing based on legitimate interests, including direct marketing.
  • Portability: Receive the data you gave us in a structured, commonly used, machine-readable format.
  • Withdrawal of consent: Withdraw consent at any time, without affecting the lawfulness of processing carried out before withdrawal.
  • Nomination: Nominate another individual to exercise these rights on your behalf in the event of your death or incapacity.
  • Grievance redressal: Raise a complaint with our Grievance Officer, and escalate to the relevant supervisory authority if you remain dissatisfied.

To exercise any right, email info@kashyaptechnologyservices.com with the subject line “Data Rights Request”. We may ask for information to verify your identity before acting, and we aim to respond within 30 days. There is no fee for a reasonable request.

12Candidate & Recruitment Privacy

If you apply for a role through us, additional commitments apply to your data:

  • Your profile is used to assess suitability for roles — never for unrelated marketing.
  • We share your details with a prospective employer only for the specific opportunity you are being considered for, and we tell you who that is.
  • You may ask us to withdraw your candidature, correct your profile, or delete your record at any point in the process.
  • We do not require identity documents, salary slips, or background-check material to accept an application; any such request comes later, from the hiring employer, under its own process and privacy notice.
  • Unsuccessful applications are retained for the period stated in Section 10 unless you ask us to remove them sooner.

14Children’s Privacy

Our website and services are intended for businesses and working professionals and are not directed at children. We do not knowingly collect personal information from anyone under the age of 18. If we become aware that we have inadvertently collected such information, we will delete it promptly. A parent or guardian who believes a child has provided us with data should contact us at info@kashyaptechnologyservices.com.

15Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in our services, technology, or legal obligations. The revised version is posted on this page with a new “Last Updated” date and takes effect on publication. Where a change materially affects how we use your personal information, we will provide additional notice by email or a prominent notice on the website before it takes effect.
